(Name),
I hope this email/letter finds you well! I am reaching out regarding my service dog accompanying me at work. My service animal does (x) tasks that keep me safe and make me a more productive member of the team. While I know legally speaking my dog has every right to accompany me, I thought that as a courtesy I would reach out to discuss a few things as well as give you a heads-up.
First I wanted to check and see if any of my fellow employees have any allergies and or fears of dogs as we would need to ensure there are adequate measures in place to keep distance between them and me. Whether that be scheduling us at different times or simply having us work in different areas. I am happy to do my best to accommodate my coworkers as they accommodate me!
Secondly, I wanted to check and see if there is a designated place that would be preferable to let my dog relieve himself(themself). I promise to clean up any of my dog's waste but I need a location that would be easily accessible to me and convenient for the company. My dog is well potty trained and will be able to hold it longer than the average pet dog but they will need to go eventually and when that happens I will need to take them out.
Thirdly, I wanted to troubleshoot places where my dog could be positioned so that they could be near me but as out of the way as possible. My dog is (x size) and is trained to tuck under desks and chairs but they may need to stand occasionally to stretch. I was thinking of (the place you think your dog could stay unless there is only one obvious place try to list several). But I wanted to confer with you to see if you can think of any other locations that might work better.
Fourth, I would appreciate it if you could send out or allow me to send out an email/put up a notice that there will be a service dog joining the staff. I would like this letter to include basic service dog etiquette such as not petting/talking to/distracting/interfering with my dog in any way. As well as a request to not take pictures of us without my consent. I understand a dog is exciting but they are first and foremost my medical equipment.
I am happy to do all I can to make this transition go as smoothly as possible; a sentiment I am sure you share! Thank you so much for your time and understanding in this matter!
Sincerely,
